AXIS Martial Arts (AXIS) is Australian-based cloud software, made available to all martial arts school across the globe, designed to help these schools manage their students and their operations.

We value and respect the privacy of all our users. AXIS is committed to protecting your privacy and complying with the Privacy Act 1988 (Cth) (Privacy Act) and other applicable privacy laws and regulations.

This Policy describes how we collect, hold, use and disclose your personal information, and how we maintain the quality and security of your personal information for users.

What is personal information?

“Personal information” means any information or opinion, whether true or not, and whether recorded in a material form or not, about an identified individual or an individual who is reasonably identifiable. In general terms, this includes information or an opinion that personally identifies you either directly (e.g. your name) or indirectly.

What personal information do we collect?

The personal information collected by us is stored securely in our electronic databases and cloud-based systems and servers. The data we will collect includes the following:

  • Full name
  • Address
  • Date of birth
  • Email address
  • Phone number(s)

You do not have to provide us with your personal information. However, if you choose not to provide us with your personal information, we may not be able to provide you with our services or otherwise interact with you.

The following additional personal information may also be collected at the discretion of the user, and is not required by AXIS to provide you with our services or otherwise interact with you

How do we collect your personal information?

AXIS Martial Arts collects your personal information directly from you when you:

  • Are created as a Lead or Student in AXIS Martial Arts.
  • Are added as a relationship to a student in AXIS Martial Arts.
  • Are added as a bill payer in AXIS Martial Arts.
  • Update your details using the AXIS member’s app (Konek).
  • Correspond directly with AXIS support staff.
  • Correspond via email with a martial arts school using AXIS Martial Arts.

Collecting personal information from third parties

We do not collect your personal information from third parties or through publicly available sources.

How do we use your personal information?

We use personal information in connection with our functions and activities for the following purposes:

  • Schools can manage bill payer and membership(s) information.
  • Schools can manage student information.
  • Schools can follow up on leads.

We do not disclose your personal information to third parties.

How do we protect your personal information?

AXIS Martial Arts will take reasonable steps to ensure that the personal information that we hold about you is kept confidential and secure, including by:

  • All data is stored securely on AWS Amazon Servers.
  • Taking measures to restrict access to only personnel who need that personal information to effectively provide services to you, (designated staff employed in the school where your membership resides, and AXIS support staff based in Perth Australia, and Cebu Philippines).

Online activity

AXIS and our service providers collect small pieces of information in your browser, known as “Cookies”. We do not use cookies to identify you. The cookies we use are to track activity and help users have a seamless experience using the service. We use cookies to keep you logged into your account, for example, or to trace your preferences of use of the service. If you do not wish to use the cookies, you can amend the settings on your internet browser so it will not automatically download cookies. However, if you remove or block cookies on your computer, please be aware that your browsing experience and our website’s functionality may be affected.

Direct marketing

We do not send you direct marketing communications or information about our services.

We do not use your personal information or disclose your personal information to third parties for the purposes of advertising.

Retention of personal information

We will not keep your personal information for longer than we need to. In most cases, this means that we will only retain your personal information for the duration of your relationship with us unless we are required to retain your personal information to comply with applicable laws, for example record-keeping obligations.

How to access and correct your personal information

AXIS endeavours to keep your personal information accurate, complete and up to date.

If you wish to make a request to access and / or correct the personal information we hold about you, you should make a request by contacting the school in which your membership resides. It is the school’s responsibility to update and maintain the personal information of its leads, students, student relationships and membership bill payers.

The AXIS website may contain links to websites operated by third parties. If you access a third party website through our website(s), personal information may be collected by that third party website. We make no representations or warranties in relation to the privacy practices of any third party provider or website and we are not responsible for the privacy policies or the content of any third party provider or website. Third party providers / websites are responsible for informing you about their own privacy practices and we encourage you to read their privacy policies.

In the case of Payment Gateways your bank account or credit card information is transmitted directly from you to the chosen service and they adhere to the standards set by PCI-DSS as managed by the PCI Security Standards Council. We do not have access to this information or store it on our servers and systems.

Privacy policy updates

We strive to keep up-to-date with the latest security and users rights requirements online. Because of this the Policy may be updated after you read it the first time. However, we will notify the user of any important changes through email or notices in the service.
